Refund Policies

This document constitutes a legally binding agreement between you and Snapmeet Technologies Pvt Ltd. It governs your access to and use of the Snapmeet platform — including event publishing, registration, payments, and all data handling practices. Please read all clauses carefully before using the platform.

Part I
Terms of Service — 17 Clauses
§ 01

Acceptance of Terms & Material Updates

This Terms of Service agreement is a legally binding contract between you and Snapmeet Technologies Pvt Ltd. Material Updates: Snapmeet may modify these Terms at any time. For any significant change affecting your rights, we will provide at least 30 days’ notice via email or a prominent platform banner. Continued use after this period constitutes acceptance. If you do not agree to the material changes, you may terminate your account.

§ 02

Eligibility, Account Security & User Preferences

Age Requirement: Use of Snapmeet is restricted to individuals aged 18 years or older. By using the platform, you represent and warrant that (a) you are at least 18 years old and (b) you possess the legal authority to enter into this Agreement. Users between 13 and 18 years of age may only participate with explicit, verifiable parental consent. Snapmeet reserves the right to verify user identity and suspend accounts suspected of fraud or illegal activity.

Account Security: You are the sole custodian of your account credentials. All passwords are encrypted using industry-standard protocols; Snapmeet staff cannot retrieve or view them. Any activity performed under your account is legally attributable to you. Snapmeet is not liable for losses resulting from unauthorized access arising from your failure to secure your credentials. Accounts may be terminated for suspected fraudulent activity or conduct detrimental to the platform or its users.

Account Deletion & Soft Retention: Users may permanently delete their account at any time via the profile settings page. Upon deletion, your profile is soft-deleted (flagged is_active=False) with a timestamped record. Residual records legally required for financial transaction audit trails (such as registration receipts) are retained for the minimum period mandated by applicable Indian law before permanent erasure.

Marketing Digest Opt-In: By default, registered users receive personalized daily event digest emails based on their interest graph and location. You may opt out of marketing communications at any time via your Profile settings (Marketing Email Preferences) without affecting critical transactional notifications such as ticket confirmations and payment receipts.

§ 03

Event Hosting, Subscriptions & Financial Transactions

Organizer Subscription Plans: Snapmeet provides event hosting services under three monthly subscription tiers: Starter, Pro, and Growth. An active subscription waives per-event publishing fees and applies a preferential platform commission rate. Full plan feature comparisons, current pricing, and plan limits are detailed on the Pricing page. Snapmeet reserves the right to modify plan features or pricing with at least 30 days' prior written notice via email or platform banner.

Recurring Auto-Pay — Please Read Carefully

By subscribing to any Snapmeet plan, you expressly authorize Snapmeet and Razorpay to automatically charge your saved payment method on a monthly recurring basis at the start of each new billing cycle, without requiring any additional confirmation from you. This is a Standing Instruction (SI) / e-NACH/e-Mandate registered on your card or bank account. You may cancel this mandate at any time via the Pricing page or directly through your bank, but cancellation takes effect only at the end of the current billing cycle.

Billing Cycle & Charge Timing: Subscriptions are billed on a 30-day (monthly) rolling cycle starting from the date of the first successful payment. Razorpay automatically attempts to charge the registered payment method at the start of each new cycle. A SubscriptionInvoice record is generated and stored for every successful charge, which is accessible from your Organizer dashboard. The billing cycle renews up to a maximum of 12 consecutive cycles (1 year), after which you may re-subscribe.

Subscription Lifecycle & Status:

  • Active: Subscription is live and all plan benefits are fully active. Auto-renewal is armed for the next cycle.
  • Grace Period: Triggered when a scheduled auto-charge fails (e.g., insufficient funds, expired card). The subscription enters a temporary Grace Period during which access is maintained. Razorpay will automatically retry the payment. If the retry succeeds, the subscription returns to Active.
  • Halted (Grace Expired): If all Razorpay payment retries fail during the Grace Period, the subscription moves to Halted status. All subscription benefits are immediately suspended. You must contact Razorpay or re-subscribe via the Pricing page to restore access.
  • Cancelled — Pending Expiry: When you cancel your subscription, it transitions to Cancelled Pending Expiry. Auto-renewal is stopped, but you retain full plan access until the end of the already-paid billing cycle.
  • Expired: The subscription billing cycle has ended and no renewal has occurred. Plan benefits are revoked immediately upon expiry.
No Refund on Subscription Payments

All subscription payments are strictly non-refundable. Snapmeet does not issue partial or pro-rated refunds for unused subscription days, including in cases of early cancellation, account termination, or plan downgrade. When you cancel, you continue to receive plan benefits through the end of the current paid billing period — no refund is issued for the remaining days.

Cancellation Process: You may cancel your active subscription at any time by clicking "Cancel Subscription" on the Pricing page. Cancellation is processed immediately with Razorpay via cancel_at_cycle_end=1, meaning the auto-renewal mandate is cancelled but you retain access until the end of the current billing cycle. The cancellation timestamp is recorded in your subscription record.

Plan Switching: Simultaneous active subscriptions to multiple plans are not permitted. To switch to a different plan (Starter → Pro → Growth or downgrade), you must first cancel your existing active subscription, allow it to expire, and then subscribe to the new plan. Mid-cycle plan changes are not supported.

Event Publishing & One-Time Hosting Fee (Non-Subscribed Organizers): For Organizers without an active subscription, a one-time, non-refundable event publishing fee may apply before your event is made publicly visible on the platform. This fee is calculated based on event type (paid/free), ticket inventory size, and organizer qualification (Educational / Non-Educational). Educational institutions and free-admission events are exempt. Full fee breakdowns are shown at the publishing confirmation step before payment is charged.

Platform Commission & Fee-Bearer: A platform commission applies to all paid ticket transactions. At event creation, Organizers select who bears the platform fee: Organizer (Absorb), Participant (Pass-on), or Split. The selected mode is locked once the event is published and applies to all ticket sales for that event. All fee calculations are transparently displayed at the attendee checkout screen before final payment.

Payment Gateway Security: All ticket and subscription payments are processed by Razorpay (domestic INR) and PayPal (international). Snapmeet never stores or receives full payment card details — all sensitive card data is handled exclusively by the PCI-DSS-compliant payment gateway. Chargebacks or payment disputes arising from ticket purchases are the liability of the Event Organizer (merchant of record).

Google Drive Integration: Organizers may authorize Snapmeet to connect to their Google Drive account to automatically store attendee file upload responses (e.g., resumes, portfolios) into a dedicated Drive folder. This integration requires explicit OAuth 2.0 authorization. Snapmeet stores only an encrypted refresh token and does not access any Drive content beyond the specifically authorized folder. You may revoke this authorization at any time via your Google Account security settings.

Organization Portals & Multi-Sub-Organization Events: Organizers may create branded Organization Pages listing multiple sub-organizations and their sub-events. All logos, media, and branding assets must be owned by the Organizer or used with proper authorization. Snapmeet does not endorse or assume liability for claims published on custom portals.

Promotional Coupons & Discounts: Discount codes configured by Organizers or issued by Snapmeet are limit-bound, single-use per user (unless otherwise specified), non-transferable, and non-redeemable for cash. Two coupon types exist: Event Publishing Coupons (waive/reduce the hosting fee) and Registration Coupons (reduce ticket price at checkout). Expired or fully-redeemed coupons are automatically invalidated.

48-Hour Payout Hold

All organizer payouts are subject to a mandatory 48-hour post-event hold to prevent fraudulent activity and facilitate dispute resolution.

Chargeback Risk

Organizers are the merchant of record and bear all financial risk associated with chargebacks and associated bank penalties.

§ 04

Ticket Reservations & Gate Verification

30-Minute Transaction Hold

To maintain inventory integrity during high-demand events, selected tickets are placed in a Hold state for exactly 30 minutes from the moment the user enters the checkout flow. If payment is not confirmed within this window, the hold expires automatically and tickets are returned to the public pool. Snapmeet is not liable for users who fail to complete transactions within this time limit.

Gate Verification & SnapScanner: Ticket admissions at venue gates are verified using official QR code passes and the dedicated SnapScanner gate entry application. Each ticket pass permits a single valid admission; duplicate check-ins or tampered codes will be automatically flagged and denied entry. Organizers and authorized gate staff may authenticate via password or secure one-time passcode (OTP) to perform ticket validation.

Offline Gate Check-In & Sync: In zero-network or offline venue environments, SnapScanner gate devices record check-ins locally. Upon network reconnection, offline check-ins are synchronized with the central database. In conflict scenarios where the same ticket pass is scanned on separate offline devices, the server's earliest confirmed timestamp record governs.

PDF Ticket Passes: Upon successful payment confirmation, Snapmeet automatically generates and emails a digitally formatted PDF ticket pass to the registered attendee's email address. These PDF passes contain the unique QR code required for venue gate scanning. Attendees are responsible for presenting a valid, readable QR code at the gate.

Personalized Tickets: Tickets are tied to the specific attendee data provided at registration. Organizers reserve the right to verify identities at the venue. Inaccuracies in registration data may result in denial of entry without any entitlement to a refund.

§ 05

Attendance System, Analytics & Minor Protection

Smart Attendance System: For events using Snapmeet's Smart Attendance feature, registered attendees submit real-time GPS location data via their browser to verify physical presence at the event venue. Attendance is only marked when the attendee's location is within the Organizer-configured geofence radius. A time-limited signed token is used to authorize check-in windows, preventing early or post-event fraudulent submissions.

Prohibition on Tracking Minors: In compliance with DPDP Act §9, venue-locking geofencing and the Smart Attendance system are automatically disabled for user accounts identified as under 18 years of age. Users aged 13-17 must obtain verifiable parental consent before enabling any location services. Parents may revoke this consent at any time.

Event Analytics Collection: Organizers have access to anonymized, aggregate event analytics including view counts, registration-form start rates, checkout conversion rates, and traffic source attribution (e.g., direct, WhatsApp, social, search). Individual user-level analytics data is not shared with Organizers. Analytics data is used solely to help Organizers improve event performance and is retained in accordance with our data retention schedule.

Event Wishlist: Users may bookmark events and Organization Pages to a personal Wishlist. Wishlisted events are private to the individual user and are not shared with Organizers.

§ 06

Refund, Cancellation & E-commerce Disclosures

Shared Responsibility

Organizer Disclosures: Each Organizer must specify their refund policy in the event listing. Snapmeet will clearly display the Organizer’s name, city, and customer care contact at the point of purchase. Complaint Tracking: If an Organizer fails to respond to a refund request, Snapmeet will issue a unique Complaint Ticket ID to track the resolution and facilitate communication between the parties.

§ 07

Nexus AI Hub, Matching & In-Platform Messaging

Snapmeet's Nexus Hub is an opt-in, event-scoped AI networking feature that facilitates professional discovery and 1:1 connection requests between attendees of the same event. By opting into Nexus AI at the event level, you acknowledge and agree that:

  • Automated Profiling: We process your profile interests, profession, and event attendance history to generate algorithmic "Matches" within the event. This constitutes "profiling" as defined under the DPDP Act 2023.
  • Event-Scoped Discovery: Nexus networking is strictly scoped to events where the Organizer has enabled the feature. Your profile is only surfaced to other attendees of that specific event.
  • Opt-Out Controls: You may disable Nexus networking globally at any time via your Profile settings (Networking Preferences), preventing discovery across all current and future events.
  • In-Platform Messaging: Once a connection request is mutually accepted, users may exchange messages via the Nexus in-platform chat. Message content is stored on Snapmeet servers. Messages that violate Community Guidelines (§ 08) may be reviewed and actioned by our Trust & Safety team.
  • No Warranty of Suitability: Matches are based on algorithmic logic; Snapmeet does not guarantee the accuracy, safety, or suitability of any suggested connection.
  • User Responsibility: You are solely responsible for your interactions with matched individuals. Snapmeet is not liable for the conduct, identity, or professional claims of any user discovered via Nexus AI.
§ 08

Community Guidelines & Social Conduct

Snapmeet is a premium professional and social community. All users must adhere to the following standards:

  • Professionalism: Harassment, stalking, or inappropriate messaging in the Nexus Hub or event chats is strictly prohibited.
  • Identity Integrity: Misrepresenting your professional credentials or impersonating others to gain access to exclusive events is a material breach of these terms.
  • Zero Tolerance: Reports of harassment or toxicity will result in immediate suspension of Nexus Hub access without warning.
§ 09

Prohibited Content & Intermediary Safe Harbor

Snapmeet complies with the IT (Intermediary Guidelines) Rules 2021. Takedown Protocol: Upon receiving a court order or government directive of illegal content, we will remove it within 36 hours. Log Retention: We securely preserve user information and transaction logs for at least 180 days as mandated by law to assist in investigations.

§ 10

Intellectual Property (Copyright Act 1957)

Snapmeet respects IP rights under the Indian Copyright Act 1957 and Trademark Act. Verified takedown notices will be processed expeditiously within the 36-hour statutory window for illegal user content. Notices should be emailed to contact@snapmeet.co.in or reported via our Help Center.

§ 11

Indemnification

You agree to indemnify, defend, and hold harmless Snapmeet Technologies Pvt Ltd, along with its officers, directors, shareholders, employees, and agents, from and against any and all third-party claims, demands, damages, obligations, losses, liabilities, costs, and expenses (including but not limited to reasonable attorney's fees) arising from or related to:

  • Your use of and access to the Snapmeet Service;
  • Your violation of any provision of these Terms;
  • Your violation of any third-party right, including any copyright, trademark, property, or privacy right; or
  • Any claim that your user-generated content caused damage to a third party.

This indemnification obligation will survive termination of these Terms and your cessation of use of the Service.

§ 12

Limitation of Liability

"As-Is" Disclaimer: Snapmeet provides its services on an "as is" and "as available" basis, expressly disclaiming all warranties, whether express, implied, statutory, or otherwise. We do not guarantee the platform will be uninterrupted or error-free. We are not liable for the conduct of any user, Organizer, or third-party service — including Razorpay, PayPal, or any cloud hosting or infrastructure providers.

Aggregate Liability Cap: To the maximum extent permitted by applicable law, Snapmeet's total aggregate liability for any and all claims shall not exceed the total fees you have directly paid to Snapmeet in the twelve (12) calendar months immediately preceding the date the claim arose. In no event shall Snapmeet be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or business opportunities.

§ 13

Governing Law & Dispute Resolution

These Terms and your use of Snapmeet are governed exclusively by the laws of the Republic of India, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms shall first be attempted to be resolved informally through good-faith negotiation between the parties.

If unresolved after 30 days of written notice, the dispute shall be submitted to binding arbitration conducted in Patna, Bihar, under the Arbitration and Conciliation Act, 1996. The language of arbitration shall be English. For non-arbitrable matters, the competent courts of Patna, Bihar shall have exclusive jurisdiction, and both parties hereby consent to the personal jurisdiction of such courts.

§ 14

Third-Party Links & Integrations

Snapmeet may contain links to external websites, platforms, or services (including but not limited to WhatsApp, Zoom, and external booking or streaming platforms). Snapmeet does not control, endorse, or assume responsibility for the content, privacy policies, or practices of any such third-party services. Your interaction with any third-party links or services is entirely at your own risk. Snapmeet expressly disclaims all liability for any phishing attempts, malware infections, data loss, or damages resulting from your use of or reliance on third-party links accessed through the Snapmeet platform.

§ 15

Anti-Scalping & Ticket Transfer Policy

Tickets issued by Snapmeet are intended for personal use by the registered attendee. To prevent black-marketing and scalping:

  • Non-Transferability: Tickets are non-transferable unless the Organizer explicitly enables the "Transfer" feature.
  • Resale Prohibited: Selling Snapmeet tickets on 3rd party platforms for a premium is strictly prohibited and will result in ticket cancellation without refund.
§ 16

Grievance Redressal & Nodal Officer

In accordance with the IT Rules 2021 and Consumer Protection (E-commerce) Rules 2020, we have appointed a Nodal/Grievance Officer. Complaint Redressal: For any platform or transaction concerns, you can email contact@snapmeet.co.in or file a formal complaint via our Help Center to receive a Unique Ticket ID and track your resolution status.

§ 17

Miscellaneous Provisions

Assignment: Snapmeet may freely assign its rights and obligations under these Terms to any successor entity, affiliate, or acquirer without prior notice. You may not assign, transfer, or sub-license your account, rights, or obligations under these Terms to any third party.

Severability: If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect without modification.

Waiver: Snapmeet's failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision in the future.

Entire Agreement: These Terms, together with the Privacy Policy and any additional terms applicable to specific features, constitute the entire agreement between you and Snapmeet with respect to your use of the Service and supersede all prior agreements and understandings.

Part II
Privacy Policy — 8 Clauses
§ 01

Commitment to Privacy

Your privacy is foundational to how Snapmeet operates. This Privacy Policy outlines how we collect, use, store, and protect your personal data in compliance with the Digital Personal Data Protection (DPDP) Act, 2023 (India) and, where applicable, the General Data Protection Regulation (GDPR) of the European Union for internationally based users. We are committed to transparency in our data practices and to empowering you with meaningful control over your personal information.

§ 02

Data We Collect & Why

We collect personal information necessary to provide the Snapmeet platform. Specifically, we collect:

  • Account & Profile Data: Name, email, phone number, city/state, country, profession, and profile picture (uploaded to Cloudinary). This is used for account authentication, event personalization, and Nexus networking.
  • Date of Birth: Collected for mandatory DPDP Act §9 age verification. Used exclusively to compute age and minor status — it is never shared with Organizers or third parties.
  • Interest & Preference Data: Event category interests selected during onboarding. Used to power personalized event recommendations and Nexus AI matching. You may update these at any time in your profile.
  • Location Data (GPS — Consent-Gated): One-time GPS coordinates collected in-browser only during Smart Attendance check-in or when setting a location preference for event discovery. We do not track location continuously. This is never collected for users under 18.
  • Event Registration & Form Responses: Responses submitted to Organizer-configured custom registration forms, including file uploads. This data is shared with the relevant Organizer solely for event execution purposes.
  • Payment & Transaction Data: Payment order IDs, transaction references, and status flags for financial audit purposes. Full card/bank details are never stored on our servers — they are processed exclusively by Razorpay or PayPal.
  • Device & Technical Data: IP address (collected at payment for fraud detection), browser type, and referral source (for event analytics). This data is not used for behavioral advertising.

Prohibition on Minor Profiling: For users identified as under 18, we limit data collection to the minimum necessary for account functionality. No targeted advertising, automated profiling, Nexus AI matching, or GPS-based attendance tracking is performed on minors' data, in strict compliance with DPDP Act §9.

§ 03

Collection of Organizer Financial Information

To facilitate the disbursement of event earnings to Organizers, we collect and securely store the following financial information exclusively from users who host paid events on the platform:

  • Bank Account Details: Account holder name, bank name, account number, and IFSC code (for domestic transfers within India).
  • UPI Information: Unique Payment Interface (UPI) IDs for instant digital fund transfers.
  • PayPal IDs: Email addresses linked to PayPal accounts for international payout processing.

This information is collected solely for the purpose of transferring earned event revenues to Organizers. We implement industry-standard security measures — including encryption at rest, strict access controls, and administrative audit logging — to safeguard this sensitive data against unauthorized access, disclosure, or misuse.

§ 04

Data Sharing, Security & Communications

We share your personal data only with carefully selected third-party service providers — specifically Razorpay and PayPal — and only to the limited extent strictly necessary to process payments and fulfill platform transactions. We do not share your data with any other third parties except where required by applicable law or a valid court order.

Organizer Custom Registration Forms: When attendees submit responses to custom registration form fields (including file uploads) required by an Organizer, such data is transmitted to the specific Organizer for event execution. Organizers act as Data Processors/Fiduciaries for custom form responses and are legally bound to use attendee data solely for event-related purposes.

Web Push Notifications: Users may opt-in to receive real-time web push notifications regarding event confirmations, updates, or Nexus AI networking alerts. Web push subscriptions are signed via VAPID keys; users can manage or revoke notification permissions at any time via browser site settings.

Our Data Promise

Snapmeet does not sell, rent, or monetize your personal data to third-party advertisers, data brokers, or marketing entities. Your data is used exclusively to provide, maintain, and improve the Snapmeet platform experience. We implement SSL/TLS encryption for all data in transit and enforce strict administrative access controls for data at rest.

§ 05

Data Retention & Breach Reporting

Retention Schedule: We retain personal account data for the duration of your account's active status. Upon account deletion, profile data is soft-deleted immediately. Financial transaction records (payment orders, registration receipts) are retained for a minimum of 7 years as required under Indian financial regulations. User activity and security logs are retained for at least 180 days as mandated by the IT (Intermediary Guidelines) Rules 2021 to support lawful investigations. Anonymized, aggregated event analytics data may be retained indefinitely as it contains no PII.

Breach Reporting Protocol: Confirmed personal data breaches will be reported to CERT-In within 6 hours of detection for high-severity incidents, and to the Data Protection Board of India and affected users within 72 hours. We maintain a rigorous Incident Response Plan. In the event of a confirmed breach, we will notify you via the email address registered to your account.

§ 06

Your Data Rights

Under applicable global data protection laws, including the DPDP Act, 2023 and the GDPR, you are entitled to the following rights regarding your personal data held by Snapmeet:

  • Right of Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Request correction of any inaccurate or incomplete personal data.
  • Right to Erasure: Request the complete and permanent deletion of your personal data ("right to be forgotten").
  • Right to Withdraw Consent: Withdraw your consent to data processing at any time, without affecting the lawfulness of prior processing.
  • Right to Data Portability: Request your data in a structured, machine-readable format where technically feasible.

Cookie Policy & Affirmative Consent

We use (1) Essential Cookies for site operation, (2) Analytics Cookies for performance, and (3) Marketing Cookies. Affirmative consent is obtained via our cookie banner. You may opt-out of non-essential cookies at any time via your browser settings.

§ 08

Policy Amendments & Contact

Privacy Policy Updates: We reserve the right to update this Privacy Policy to reflect changes in our data practices, new feature launches, or changes in applicable law. For material changes, we will notify you via email or a prominent notice on the platform at least 30 days before the change takes effect. Continued use of the platform after such notice constitutes your acceptance of the updated policy.

Privacy Inquiries: For any data-related queries, to exercise your rights under DPDP/GDPR, or to raise a privacy concern, please contact our Legal & Compliance team at contact@snapmeet.co.in or submit a formal support ticket in the Help Center. All privacy requests are responded to within 30 days of a verified submission.

Part III
Refund & Cancellation Policy — 4 Clauses
§ 01

General Refund Principles

Snapmeet operates as an e-commerce intermediary. All ticket sales are final and subject to the specific refund policy established by the Event Organizer. Snapmeet does not directly issue refunds except in cases of verified platform technical failure during the transaction process.

§ 02

Organizer Autonomy & Merchant Responsibility

As the "Merchant of Record," Event Organizers are legally responsible for processing refund requests. Their specific policy (e.g., "No Refunds," "7-Day Window," etc.) is prominently displayed on the event registration page. By purchasing a ticket, you explicitly agree to the Organizer’s stated policy.

§ 03

Event Cancellation Protocol

In the event of a total cancellation of an event by the Organizer, the Organizer is solely and legally responsible for authorizing and processing refunds. Snapmeet’s role is strictly limited to that of a facilitating intermediary as follows:

  • Best-Effort Notification: Snapmeet will attempt to notify registered ticket holders of the cancellation via email or platform notification on a best-effort basis. The Organizer remains primarily responsible for communicating cancellations and updates directly to their attendees.
  • Refund Authorization: All refunds for cancelled events must be authorized and processed directly by the Organizer. Once authorized by the Organizer, funds are typically returned to the original payment method within 5-10 business days as per banking and payment gateway standards.
  • No Liability for Funds: Snapmeet does not guarantee, hold, or assume any financial or legal liability for the successful return of ticket funds. If the Organizer has already received payouts, has insufficient settlement balances, or refuses/fails to authorize the refund, the Organizer bears 100% liability to the ticket buyers.
§ 04

Dispute & Grievance Resolution

If an Organizer fails to honor their stated refund policy or becomes unresponsive, users should email contact@snapmeet.co.in or file a formal grievance through the Snapmeet Support Center. We will issue a Ticket ID and initiate an internal audit of the Organizer’s account, which may lead to payout suspension or account termination for the Organizer.
